TimeClick Integration with Passport Payroll Software

Hey everyone, today we’re going to go over
the direct integration between TimeClick time clock software and Passport business software
solutions, or PBS. To prepare for the integration, make sure
TimeClick employee names and IDs match those you set up in PBS or “Passport Payroll” After using TimeClick for employees to clock
in and out, on payroll day open TimeClick and enter Admin mode. Go to the Report Center. From here you can run a normal hours report
if you want to review all the details for your employees’ clock actions and verify
everything is correct. When you’ve checked through and decide it’s
good to go, click on this Payroll Reports tab. Using the dropdown menu select Passport, check
the date range, and change any of these other settings like rounding and displaying auto
lunch deduction as needed. If this is your first time using this integration,
click the Detect Passport Directory button. It will ask you if you want to overwrite the
default location to save the employee timesheet export. Go ahead and click Yes. Immediately after you’ll see a window telling
you whether it detected Passport’s diwrk folder. If it doesn’t, that’s not a big deal. Just click OK and browse to the diwrk folder
in your Passport directory and select it. With that folder selected, click View Report. You’ll see the confirmation that the integration
file was created and the folder location you told it to go to. Once you click OK, a PDF preview of the summary
report will pop up so you can review it again if you want. Go ahead and close it when you’re finished
reviewing. Now let’s open your PBS software. In the directory to the left, expand the payroll
module menu and expand Time Worked. Select Enter, make sure the pay period ending
date matches the last day of the pay period you’re running payroll for, and click OK. In the time worked window click the red “Click
here to Import transactions” text. If you don’t have any TCExtract export in
the diwrk folder you’ll be taken to a page on Passport’s website. If you’ve already completed the export from
TimeClick and saved it to the diwrk folder, it will immediately detect and use it. The TCExtract file in the diwrk folder will
then have its name automatically changed so it can’t be imported twice. Use the dropdown menu to select the type of
employees you are importing and click OK. If it says there were exceptions found during
the import it most likely just means there’s something like a department number or an employee
initial that is mismatched so just click OK. Select the option to print to disk so you
can pull up the details of the import later and click Select. Click Yes to import the time transactions
that were detected. Immediately you’ll see the names populate
this section. When you select any employee’s name the
hours will automatically be populated based on the import from TimeClick. If needed you can edit the total hours, add
deductions or earnings, etc. When it all looks good click Save and Exit. From this point you’ll process payroll as
you normally would by calculating payroll, posting checks using the cash account and
a quick posting process, and using direct deposit, emailing stubs, etc. Now you’re ready to start using this integration
